Email accidentally deleted can be recovered in most cases. The recovery window depends on which "delete" path you took.
1. Just deleted (in Deleted Items)
Mail you deleted normally is in Deleted Items. Drag it back to Inbox.
2. Emptied Deleted Items
Even after emptying, there's a secondary recovery folder:
- Click Deleted Items
- At the top of the message list, click Recover items recently removed from this folder
- A dialog shows items you've "permanently" deleted in the last ~14 days
- Select what you want → Restore Selected Items
Items recovered here go back to Deleted Items, not the original folder.
3. The 14-day rule
Microsoft 365 keeps deleted items in the recovery folder for 14 days by default. After that, they're truly gone — at least from the user-accessible recovery.
4. Hard-deleted (Shift + Delete)
Mail removed with Shift + Delete skips Deleted Items but still ends up in the same 14-day recovery folder. The same Recover Deleted Items dialog works.
5. Outlook Web Access
Outlook on the web has the same recovery option:
- Sign in to outlook.office.com
- Click Deleted Items
- At the top, click Recover items deleted from this folder
Sometimes the web shows items the desktop hasn't synced.
6. After 14 days
If you've passed the 14-day window:
- Litigation hold or retention policy: if your organization has set one, the item may still exist in a hidden recovery folder that admins can access. Ask IT.
- Backup: if your org backs up M365, the item may be in a backup. Ask IT to restore — this is usually a paid service for vendors like Veeam, AvePoint, Datto.
7. Calendar items, contacts, tasks
The same recovery tool works for these in Outlook:
- Open Deleted Items
- Recently deleted calendar entries and contacts appear
- Recover Deleted Items dialog covers them too
8. Searching all folders
If you didn't delete it but you can't find it, try a full search:
- In the Outlook search bar, switch the scope to All Outlook Items
- Use specific terms — sender's name, subject keywords, or known phrase
- Search in Junk Email too — it may have been auto-filtered
9. Auto-archive
If you set up Auto-Archive, mail older than a certain age moves to an archive file. Check:
- File → Tools → Clean Up Old Items
- Or look at your Archive PST file location
10. Rules that move messages
A common "I never received this" pattern: a rule is auto-moving incoming messages. Check:
- File → Manage Rules & Alerts
- Look for active rules; disable temporarily to see if the missing mail appears
When to ticket
Open a ticket if:
- The 14-day window has passed and you need an item back
- You're a manager and need access to a former employee's mailbox
- A whole folder went missing
- A mailbox-level restore from backup is needed
Include: the approximate date the message arrived, the sender, and any subject line keywords you remember. Recovery from backup typically takes a few business days.
