A PDF that won't open or looks broken is usually a reader issue, not a corrupt file. Switching readers diagnoses fast.

1. Try a different reader

Default PDF readers vary by OS:

  • Windows opens in Edge by default; Adobe Acrobat Reader if installed
  • macOS opens in Preview

To force a different one: right-click the PDF → Open with.

If the file opens in Reader A but not Reader B, the file is fine — Reader B has a problem.

2. Quick PDF readers to try

If Adobe is broken:

  • Microsoft Edge — built into Windows, opens PDFs natively
  • Foxit Reader — lighter than Adobe
  • PDF-XChange Editor — also lighter
  • Browser-based: drag the PDF into Chrome, Edge, or Firefox

3. Adobe Acrobat keeps crashing

If your default is Adobe Reader and it consistently crashes:

  • Help → Repair Installation
  • Help → Check for Updates
  • As a last resort: uninstall and reinstall from adobe.com

4. "Cannot open this PDF — please install Adobe Reader"

Some PDFs (especially form-heavy ones) require Acrobat Reader specifically and refuse to open in Edge or Preview. Install Acrobat Reader and reopen.

If the file specifically demands Acrobat Pro (the paid version), you need a license — that's a ticket.

5. PDF prints garbled or blank

PDF printing issues are surprisingly common. Try in order:

  • Print as image — in the print dialog → Advanced → tick "Print as Image". Slower but more reliable.
  • Different printer driver — switch from PCL to PostScript or vice versa
  • Different reader — Edge prints PDFs differently from Acrobat
  • Update the printer driver

6. PDF form fields not editable

You can fill in some PDFs but not others:

  • "AcroForm" PDFs are editable in most readers
  • Scanned PDFs (just images) aren't editable until you OCR them
  • "Flattened" PDFs have fields locked

Use Acrobat Reader (free) for AcroForm fields. For OCR, Adobe Pro or Smallpdf work.

7. PDF is password-protected

If you're asked for a password:

  • Get it from whoever sent you the PDF
  • "Open" and "Permission" passwords are different — Open lets you view; Permission unlocks editing/printing

8. PDF looks weird — wrong fonts, layout broken

This is almost always font substitution. The PDF was authored with fonts your reader doesn't have:

  • Adobe Reader has the widest font library and renders better
  • Edge's PDF view substitutes fonts and can look off
  • If a specific font is critical, the author should have embedded it (their problem, not yours)

9. PDF won't print specific pages

If you can print some pages but not others:

  • Try printing those pages as image (see #5)
  • Try saving the failing pages as a new PDF and printing that
  • A common cause: the PDF has very large embedded images that bust the printer's memory; split it up

10. PDF on macOS opens in Preview by default

Preview is fine for viewing but limited for forms. To set Acrobat as default:

  • Right-click any PDF → Get Info → Open with → Adobe Acrobat → Change All

When to ticket

Raise a ticket if:

  • You need Acrobat Pro for editing (not the free Reader)
  • A specific PDF fails to print on multiple printers
  • A PDF from a known sender consistently won't open

Include a screenshot of the error and the PDF size.
