Name and email changes affect many systems. Plan in advance.

1. Name change (legal)

When you legally change your name:

  • HR usually initiates with your manager
  • IT updates Active Directory and downstream systems
  • Microsoft 365, Active Directory, Workday, etc. cascade automatically
  • Sometimes some apps need manual update

2. Display name vs. account name

Different things:

  • Account name[email protected] (often based on initial assignment)
  • Display name — "Priya Sharma" (shown in emails, Teams, calendar)

Display name updates immediately. Account name change requires more setup.

3. Email alias

If your old name is [email protected] and you want to switch to [email protected]:

  • New primary email is set
  • Old email becomes an alias (still delivers to your mailbox)
  • Old email continues to work for receiving

This keeps things working without breaking inbound emails.

4. Changing primary email

After updating:

  • Email sent to old address still arrives
  • Email you send from now shows new address
  • Calendar invites use new address
  • Outlook updates after sync (may take 24 hours)

Tell your external contacts you've changed:

  • Auto-reply for a month: "I now go by ..."
  • Update your email signature
  • Update business cards / LinkedIn

5. Username vs. email

For Microsoft accounts, these are usually the same. For some other systems:

Different ID. Some systems update username with email change; some don't.

6. Software signed in with old name

After name change, many apps still show old name:

  • Each app's profile needs updating
  • Some sync from corporate directory automatically
  • Some require manual update

Audit your apps and update profile in each.

7. Email signatures

Update everywhere:

  • Outlook desktop signature
  • Outlook Web signature
  • Mobile email apps
  • Teams signature (in some configurations)

8. Phone / mobile devices

Phone may auto-sync from corporate directory. If not:

  • Outlook mobile: remove and re-add account
  • Teams mobile: sign out and back in
  • Apple Mail / Android default mail: re-add account

9. SSO complications

Some SSO integrations cache user details. After name change:

  • Some apps continue showing old name for a while
  • Use the app's "refresh from directory" feature if available

10. Document references

References in documents:

  • Excel formulas that hardcoded [email protected]
  • SharePoint / OneDrive permissions
  • Old email threads quoting your address

These don't auto-update. Manually fix if they break things.

When to ticket

Raise a ticket for the name / email change. IT handles:

  • Active Directory update
  • Email alias setup
  • Sign-in works on new credentials
  • Notification to admins of name change

You'll need:

  • HR confirmation of name change
  • Desired email format (e.g. firstname.lastname vs. firstname.l)
  • Timing — typically takes 1-3 business days

Cascading to all systems can take 1-2 weeks depending on integrations.
