Replacing a failed surveillance camera is mostly mechanical work, but a few things make it go smoothly.

1. Confirm the camera is actually failed

Before replacing:

  • Try power cycle (unplug PoE for 30s)
  • Try a different switch port
  • Verify the cable run is intact (a laptop directly to the cable should get network)

If a known-good camera fails on the same cable + port, the camera was the issue. If it also fails, fix the cable/port first.

2. Match the replacement to the existing setup

Specs to match:

  • Resolution — 1080p, 4K, etc.
  • PoE class — newer 4K cameras may need PoE+ (802.3at) which older switches don't supply
  • Mount type — turret, dome, bullet (otherwise you're replacing the bracket too)
  • Vendor — to keep NVR integration simple

Mixing vendors works (via ONVIF) but loses vendor-specific features.

3. Same model = easy

If the failed camera is still in production, replacing with the same model:

  • No mounting hardware change
  • No camera position adjustment
  • Same field of view

This is the easiest path.

4. Different model = more setup

If you're upgrading or the model is discontinued:

  • The mount may be different — check before ordering
  • Field of view differs — re-aim and re-focus required
  • Settings need to be replicated (or reconfigured from scratch)

5. Power off before swapping

For PoE cameras:

  • Disconnect at the switch (not the camera) — safer
  • Some switches let you remotely disable PoE per port

For powered cameras: unplug the wall power first.

6. Install the new camera

Mechanical:

  • Unscrew the failed camera from its mount
  • Disconnect the cable (catch the loose end so it doesn't fall back into the wall)
  • Connect the new camera to the cable
  • Screw to the mount

Test before re-tightening — verify the camera comes online and the image looks right.

7. Configure on the NVR

For ONVIF cameras, the NVR can usually discover automatically:

  • Settings → Add Camera → Discover
  • New camera appears with its IP
  • Add to the desired channel slot

For vendor-specific protocols, follow the vendor's onboarding (often QR scan from a mobile app, or web interface to set IP).

8. Restore settings

Specific to the deployment:

  • Recording schedule
  • Motion zones
  • Bitrate and resolution
  • Day/night switching
  • Privacy masks

Some vendors let you export settings from the old camera and import to the new one — if you saved a backup before it failed.

9. Reaim and focus

After mounting:

  • View live from your NVR
  • Adjust horizontal and vertical aim
  • For varifocal lenses, set focal length
  • Trigger auto-focus (or manually adjust)

Don't tighten the camera until you're satisfied with the view.

10. Update inventory

Final step:

  • Update the asset register with new serial number
  • Photograph the new install
  • If under warranty, retain documentation
  • Dispose of the failed camera per IT policy (some have data on internal storage)

When to ticket

Raise a ticket if:

  • You need a replacement camera ordered
  • The replacement needs to be a different model and you're not sure which
  • An outdoor or high-mount camera needs a ladder and you don't have one
  • Configuration is complex (line crossing, advanced AI features)

Include the failed camera asset tag, the location, what you need replaced or upgraded.
